About this policy
In this policy, “we“, “our“, “us“, and “Hypatia Tech“, all refer to Hypatia Tech, Inc and any of our corporate affiliates. “Services“ and “Doocs App“ refers to Doocs, along with our other services, apps, and websites.
This policy is intended to help you understand what information we collect, use or share about you, when you interact with us in any way, (for example, using any of our products or services, or communicating with us by attending our events or premises)
This policy also explains what choices you can make about how we use your information, how you can access or change certain information about you, and what use cases of your information you can object to. If you do not agree with this policy, do not access or use our Services or interact with any other aspect of our business.
Information we collect
A. Information You Provide to Us
We collect information about you when you or an organization you're enrolled in input it into the Services or otherwise provide it directly to us.
Account, Profile: We collect information about you when you create an account, add information to your profile, or update them (for example, your display name, profile picture, email or phone number), and when you set preferred settings in our Services.
Payment Information: When you register for certain paid Services, we might collect payment and billing information (for example, card details or billing representative information), and we collect that information via secure payment processing services, We do use third-party payment providers to process payments on the Services. We may receive information associated with your payment information, such as billing address and transaction information, but we do not directly store payment information on our Services.
Content you provide through:
Our Product (Doocs App): where we collect and store content that you post, send, receive and share. The content might includes any information about you that you may choose to include. Examples of content we collect and store include: any text, audio, or file you submit in an article, feedback you provide to us, and any file or link you upload to the Services.
Interacting with features: We collect analytics and clickstream data about how you interact with features in the Services.
Our Support Channels: Whether you speak to one of our representatives directly, designate yourself as a technical contact, or engage with our support team, you will be asked to provide contact information, a summary of the problem you are experiencing, and any other documentation, screenshots or information that would be helpful in resolving the problem you are experiencing.
Our Websites and Events: We collect content that you submit to websites, social media, and social networking websites operated by us. For example, when you provide feedback or when you participate in any surveys, contests, promotions, activities or events.
B. Automatic Data Collection:
How you use the Services: When you interact with our services, we record some information about you, The information might include: the type, name, and size of the attachments you upload to the Services, the links you click on in the Services, and how you interact with other users in the Services.
Device Information, Cookies and Tracking: We collect information about any device you use to access our Services, the information might include: connection type, MAC address, mobile carrier, cookie identifiers, mobile advertising and other unique identifiers, details about your browser, operating system, location information (including inferred location based off of your IP address), and Internet service provider.
We, as well as third parties that provide content, advertising, or other functionality on the Services, may use cookies, pixel tags, local storage, and other technologies (“Technologies”) to automatically collect information through the Services. Most browsers allow you to block and delete cookies. However, if you do that, the Services may not work properly.
Information we obtain from other sources:
Third Party Providers: We may obtain information about you when you or your administrator integrate third-party apps, for example, when you sign up with a Google account or link your Google account to an existing account, we receive your name and email address as permitted by your Google profile settings in order to authenticate you. Your administrator may authorize our Services to connect with a third party reporting service so your organization can review how the Services are being used. The information we receive when you link or integrate our Services with a third-party service depends on the settings, permissions and privacy policy controlled by that third-party service. You should always check the privacy settings in these third-party services to understand what data may be shared with our Services.
Business and Advertising Partners: We work with a global network of partners who provide consulting, implementation, training, advertising, and market research. We receive information from these partners, such as your company name, what country you are in, what Services you have purchased or may be interested in, and what events you have attended.
Other users of the Services: Other users of our Services may provide information about you when they submit content through the Services. For example, you may be mentioned in a discussion opened by someone else, or when someone else invites you to use our Services or when an administrator provide your contact information.
Using information we collect about you
How we use the information we collect depends in part on which Services you use, and we use them for a variety of business purposes including:
Providing the Services, requested information and communication: We use information about you to provide the Services to you, for example, we use your name and profile pictures to identify to other users of the Services, processing your payments and otherwise servicing your purchase orders, authenticating and verifying your identity, and providing a tailored experience for you when you across our Services. We use your contact information to communicate with you about the Services via email, phone number, or within our Services, for example, confirming your purchases, reminding you of subscription expiration, or when other users interact with you in the Services, like sharing an article with you. These communications are part of the Services and in most cases you cannot opt out of them. If an opt out is available, you will find that option within the communication itself or in your account settings.
Research and development purposes: We use information (including feedback) about how people use our Services to troubleshoot, to identify trends and activity patterns, to improve our Services and to develop features and technologies that benefit our users and the public. We are always looking for ways to make our Services faster, smarter, and more useful. We also -in some cases- use A/B testing in rolling our features.
Marketing Our Products and Services: We might use the information we collect about you to send promotional communications that may be of specific interest to you, for example, displaying targeted ads on other services or websites, sending emails about new features, newsletters we are publishing, or surveys we are conducting. These use cases are aimed at maximizing what you get out of our Services.
Safety and security: We use information about you and your Service use to verify accounts and activity, to detect, prevent, and respond to potential or actual security incidents and to monitor and protect against other malicious, deceptive, fraudulent or illegal activity, including violations of Service policies.
Customer support: We use the information we collect about you to resolve technical issues you might encounter and to analyze crash reports. Where you clearly give us permission to do so, we disclose only the necessary information with a third party expert to resolve the problem you are facing.
Protecting our legal rights: We use information we collect about you, where required by law or where we believe it is necessary to protect our legal rights or interests, in connection with legal claims, compliance, regulatory, and audit functions, and disclosures in connection with the acquisition, merger or sale of a business.
Consent: We may use personal information for other purposes that are clearly disclosed to you at the time you provide personal information or with your consent.
Legal bases for processing (for EEA users):
f you are an individual in the European Economic Area (EEA), we collect and process information about you only where we have legal bases for doing so under applicable EU laws. The legal bases depend on the Services you use and how you use them. This means we collect and use your information only where:
We need it to provide you the Services, including to operate the Services, provide customer support and personalized features and to protect the safety and security of the Services;
It satisfies a legitimate interest (which is not overridden by your data protection interests), such as for research and development, to market and promote the Services and to protect our legal rights and interests;
You give us consent to do so for a specific purpose; or
We need to process your data to comply with a legal obligation.
If you have consented to our use of information about you for a specific purpose, you have the right to change your mind at any time, but this will not affect any processing that has already taken place. Where we are using your information because we or a third party (e.g. your school) have a legitimate interest to do so, you have the right to object to that use though, in some cases, this may mean no longer using the Services.
Sharing information we collect about you
We may share information about you for the following reasons:
With other users of the Services: In order for the Services to work as intended, we share certain information about you with other Service users. For example, when a organization adds you as member, we display your profile picture and name to their member lists so that other members can identify you. In some cases, your administrator can allow other users to see some information about you.
Administrators: Organization administrators have the ability to see your information including your name, profile picture, content and past use of your account.
Third parties, Service Providers, and partners: We share information with third parties that help us operate, provide, improve, integrate, customize, support and market our Services. We work with third-party service providers to provide website and application development, hosting, maintenance, backup, storage, payment processing, analysis and other services for us, which may require them to access or use information about you. If a service provider needs to access information about you to perform services on our behalf, they do so under close instruction from us, including appropriate security and confidentiality procedures designed to protect your information. We may also share information with these third parties where you have agreed to that sharing.
Third Party Apps and Sites: You, your administrator or other Service users may choose to install third party apps or to open links to third party websites from within the Services. Doing so may give third-party apps and sites access to your account and information about you like your name and email address, and any content you choose to use in connection with those apps. If you are an administrator, or a technical or billing contact listed on an account, we share your details with the third-party app provider upon installation. Third-party app policies and procedures are not controlled by us, and this privacy policy does not cover how third-party apps use your information. We encourage you to carefully read the privacy policy of any website you visit or app you install. If you object to information about you being shared with these third parties, please do not use the apps, or access the sites.
Social Media and Third-Party Widgets: Some of our Services might contain widgets and social media features, or links to other websites. These widgets and features might collect your IP address, and may set a cookie to enable the feature to function properly. Your interactions with these features are governed by the privacy policy of the company providing it.
Disclosures to Enforcement Requests and for Protecting Us or Others: In rare cases, we may share information about you with a third party if we believe that sharing is reasonably necessary to (a) comply with any applicable law, regulation, legal process or national security requirements, (b) enforce our agreements, policies and terms of service, (c) protect the security or integrity of our products and services, (d) protect your, our, or others’ rights, property, or safety, (e) collect amounts owed to us, or (f) respond to an emergency which we believe in good faith requires us to disclose information to assist in preventing the death or serious bodily injury of any person.
Sharing with our affiliated companies: We share information we collect with affiliated companies and, in some cases, with prospective affiliates. Affiliated companies are companies owned or operated by us. The protections of this privacy policy apply to the information we share in these circumstances.
Disclosure in the Event of Merger, Sale, or Other Asset Transfer: If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, purchase or sale of assets, or transition of service to another provider, then your information may be sold or transferred as part of such a transaction, as permitted by law and/or contract.
Consent: We share information about you with third parties when you give us consent to do so.
Information storage and security
While we implement safeguards designed to protect your information, no security system is impenetrable and due to the inherent nature of the Internet, we cannot guarantee that information, during transmission through the Internet or while stored on our systems or otherwise in our care, is absolutely safe from intrusion by others. If you use our server, data center, or on-premise version of the Services, responsibility for securing storage and access to the information you put into the Services rests with you and not Us.
We store the personal information we receive as described in this Privacy Policy for as long as you use our Services or as necessary to fulfill the purposes for which it was collected, provide our Services, resolve disputes, establish legal defenses, conduct audits, pursue legitimate business purposes, enforce our agreements, comply with applicable laws, and as long as required by the administrator of your account.
Information you share on the Services: If your account is deactivated or disabled, some of your information and the content you have provided will remain in order to allow other users to make full use of the Services. For example, we keep the chat messages you sent to other users and the comments you posted in a discussion.
Marketing Data: If you have elected to receive marketing emails from us, we retain information about your marketing preferences and information derived from cookies for a reasonable period of time from the date you last expressed interest in our Services, such as when you last opened an email from us or ceased using your account.
Your Choices
You have the right to object to our use of your information, request a copy of your information, or to request the deletion of your information. Below, we describe the tools and processes for making these requests. Where the Services are administered for you by an administrator (see "Notice to End Users" below), you may need to contact your administrator to assist with your requests. For all other requests, you may contact us directly. Your requests may be limited in certain cases: for example, if fulfilling your request would reveal information about another person, or if you ask to delete information which we or your administrator are permitted by law or have compelling legitimate interests to keep.
Updating your information: You can access and update certain information about you from within the Services, for example, you can update your profile information from your account settings, and -in some cases- you can update or delete content you posted in the Service using the tools associated with that content.
Deactivating your account or Deleting your information: you or your administrator may be able to deactivate your Services account. that setting is available to you in your account settings. Otherwise, please contact your administrator. Deactivating your account does not delete your information; your information remains visible to other Service users based on your past participation within the Services. Our Services give you the ability to delete certain information about you from within the Service. For example, you can remove content that contains information about you using the editing tools associated with that content, and you can remove certain profile information within your profile settings. Please note, however, that we may need to retain certain information for record keeping, to complete transactions, or to comply with our legal obligations.
Requesting that we stop using your information: When you believe that we don’t have the right access or use your information, for example, when your account was created for you without your consent, or if your account is disabled, you may ask us to accessing, storing, or using your information. Where you gave us consent to use your information for a limited purpose, you can contact us to withdraw that consent, but this will not affect any processing that has already taken place at the time. When you make such requests, we may need time to investigate and facilitate your request.
Opt-out of communications: If you receive an unwanted email from us, you can use the unsubscribe link found at the bottom of the email to opt out of receiving future emails. Note that you will continue to receive transaction-related emails regarding products or services you have requested. We may also send you certain non-promotional communications regarding us and our Services, for example, updating our privacy policy. and you will not be able to opt out of those communications.
"Do Not Track" Signals: Some browsers have incorporated "Do Not Track" (DNT) features that can send a signal to the websites you visit indicating you do not wish to be tracked. Because there is not yet a common understanding of how to interpret the DNT signal, our Services do not currently respond to browser DNT signals.
Portable Data Forms: Our Services might provide options to export data tables to a portable electronic file format (only to administrators), should you choose to use such options, the responsibility of securing the information inside such files, is on you, no Us.
Other important information
Notice to End Users: our product is intended for use by organizations. Where the Services are made available to you through an organization, that organization is the administrator of the Services and is responsible for the accounts and/or Service sites over which it has control. If this is the case, please direct your data privacy questions to your administrator, as your use of the Services is subject to that organization's policies. We are not responsible for the privacy or security practices of an administrator's organization, which may be different than this policy.
Administrators are able to:
require you to reset your account password;
restrict, suspend or terminate your access to the Services;
access information in and about your account;
access or retain information stored as part of your account;
install or uninstall third-party apps or other integrations
In some cases, administrators can also:
change your information, including profile information;
restrict your ability to edit, restrict, modify or delete information
Please contact your organization or refer to your administrator’s organizational policies for more information.
Changes to our Privacy Policy: We may revise this Privacy Policy from time to time in our sole discretion. If there are any material changes to this Privacy Policy, we will notify you. You understand and agree that you will be deemed to have accepted the updated Privacy Policy if you continue to use the Services after the new Privacy Policy takes effect.
If you disagree with any changes to this privacy policy, you will need to stop using the Services and deactivate your account(s), as outlined above.
